Where can I obtain documentation for the software?

How can I access the user manual from within the FUNDimensions software?

The About FUNDimensions window contains a button for opening the user manual over your internet connection. The document will be opened in Adobe Acrobat or in your browser, depending on your configuration.

To show the About FUNDimensions window, choose About FUNDimensions from the Help menu under Windows, from the Apple menu under Mac OS 9, or the FUNDimensions menu under Mac OS X.

How can I use FUNDimensions to browse a data file and print basic reports without purchasing a license?

FUNDimensions offers a free Read-Only Mode for this purpose. Just lock the data file on Macintosh (select the data file, then do File menu > Show/Get Info window, and check the Locked box) or set the data file to Read Only on Windows [right-click on the data file, select Properties, and check the Read Only box; do this for both parts (.4DD and .4DR) of the data file]. FUNDimensions will then open the file in Read-Only Mode, no license required. See the User Manual, Chapter 2 for details.

How can I generate a letter to my donors that will list their gifts and tax deductions for a year or other period?

How can I generate a thank you note to a named or memorial donor or their family, listing the gifts made in their behalf?

How can I use FUNDimensions to solicit a renewal of fulfilled pledges?

I want to give my largest and most recent donors some special acknowledgement. How can I get a list of who they are, with gift information and their phone numbers, addresses, and email addresses?

  1. In the Donor List View (that's the first window you see after the program starts up), choose Find menu > Amount. Enter the dates for whatever you consider to be "recent", and a range of gift amounts to meet you definition of "largest", and click the Search button.

  2. Choose Output menu > Print List. Under the Format tab, choose "Detail", then set the items in the Include and Date Filter tabs to your liking. (You'll probably want the "Contact Info" and "Print Details and Totals" options turned on.) Print this report.

  3. FUNDimensions remembers your settings in the Amount search and Print List windows, so the next time you run this report, you may need to change only the dates.

I like that procedure, but I'd prefer to work from a list of my top 25 donors, sorted by the total amount they have given for the last 12 months (or any other time period), so that my biggest donors are at the top of the list.

  1. Again from the Donor List View: choose Records menu > Show All to get back the full list.

  2. Choose Records menu > Sort. In the Sort window, choose Rank By Gift Amount. Enter the date range you want the software to consider when examining gifts for ranking purposes. Since you want the biggest donors at the top of the list, choose the Descending radio button. Then click the Sort button.

  3. The sort happens and the list of donors reflects the new order. To isolate just your, say, top 25, just choose Records menu > Show By List Position. Type in 25, make sure "beginning of the list" is selected, then click OK.

  4. You are ready to print a list or perform an export for mail merge to your top 25 donors. Explore the Output menu for options.

Membership Management FAQ

How can I use FUNDimensions to solicit a renewal of expiring or expired memberships?

You can use searches to locate memberships that are about to expire, or which have expired. You may conduct these searches to locate memberships with a specific number of days before or after their expiration date. For example, you can locate all memberships that will expire in the next 30 days, or use a search to find memberships that expired more than 30 days ago, but less than 60 days ago.

You can also track the number of renewal notices sent to a member, and include this in your search. For example, it is possible to specify a search that will locate only members expired at least 30 days who have only received one renewal notice.

You can use this information about how long since or until expiration, and the number of renewal notices already sent, to tailor your letters or emails. For example, you can generate correspondence that will tell the donor how many days until/since expiration, and mention that this is the first, second or third renewal notice.

How can I track multiple memberships issued from a single dues payment, such as couples?

You can keep couples as a single record, or as separate records, as described in "What's the most efficient way to enter data on couples with two last names?" below. If you keep them as separate records, enter the couple membership for either one of them, and enter a complimentary membership record ($0) for the other. This will result in a correct count of members, and a correct accounting of amounts paid. You may wish to make a note of the complimentary record in the Note fields of both membership records.

If you keep the couple in a single record, you can create two membership records. As above, one will have the actual dues amount, while the other is complimentary. Again, the complimentary membership record ensures that counts of current members are accurate.

For high-level memberships that have 2 or more memberships included, use the same strategy, Create complimentary memberships concurrent to the paid membership, for as many memberships as you want.

For either of the strategies above, you should eliminate the complimentary records from the list prior to sending renewal notices. You can do this by sorting the list on amount, highlighting the $0 records, and using the the Hide Highlighted command to remove them.It is also possible to remove these records using a search.

You should also probably set up a unique Member Class to indicate couple and other multiple-membership categories.This will allow you to search and find these records quickly, and identify records that are paired when browsing. See the User Manual for specific instructions on adding these items to the Member Class list, and from there into membership records.


Report and Printing FAQ

How can I preview my report on the screen before printing?

Turn on the Print Preview or Preview on Screen checkbox in the Print window. (The Print window is the last window you see before the computer sends the job to the printer.) Mac OS X note: we prefer the FUNDimensions preview to the one offered by Mac OS X. This means you should try the Preview on Screen checkbox, instead of only using the Preview button. To locate this checkbox, choose FUNDimensions from the popup menu whose default item is Copies & Pages.

How can I print mailing labels?

Choose Labels from the Output menu. A window appears with options for selecting label size, font, and for tracking the mailing by attaching a keyword, saving the records as a named set, or attaching a note to each donor record.

When a List View is the active window, FUNDimensions prints a label for each record in the list. When an Input Window is the active window, FUNDimensions prints a label just for that donor.

How do I tell FUNDimensions to print only a subset of the records?

The first time its opened, a List View shows all the records in that table, e.g. all the donor records appear in the Donor List View when the program is launched, and all the donations appear in the Donation List View when it is opened by choosing File menu > Donations. These records are known as the current selection. The records in the current selection are the only records that get printed, graphed or exported.

You can use one or more searches to change which records appear in a List View. For example, the Basic search (Find menu > Basic) allows you to locate records of donors whose last name begins with an "A". When you conduct a search, the results of the search become the new current selection. Records not meeting the search criteria are removed from the list. (These removed records are only hidden, they are not deleted. You can recover all the records to a list view by choosing Record menu > Show All.)

You can also manually select records and use commands from the Records menu to either remove them from the current selection (Records menu > Hide Highlighted), or to remove non-selected records from the current selection (Records menu > Show Highlighted). Current selections may be saved as a named set to be restored later. These techniques can be used alone or in conjunction with each other and with searches to generate exactly the current selection you desire. And unlike some other software, the List View lets you browse and change the current selection before anything is printed, graphed or exported.

How can I modify the appearance of a graph?

Some graphs contain a small menu bar and button bar at the top. This lets you alter the type of graph (bar, line, 3D, etc.), change colors and patterns, add text or graphics and print.

The graph displayed in the Donor Input Window, has several controls at the bottom of the graph to change graph type and the data set for the X axis.

My accountant wants my total gifts for last month, and some hard copy to back up my figures. How can I do this?

    1. Choose File menu > Donations.

    2. Choose Find menu > Date. Enter the date range for the month in question. Click the Search button.

    3. Choose Output menu > Print List. Select the Payment Form radio button, then print the report. The total for the period appears at the end of the report.

    4. Repeat for Pledges and Memberships, if you use them. (File menu >Pledges, File menu > Memberships)

I want to know how I am doing so far this month: how many gifts, and the total of gifts month to date (or year to date). How can I get this information without printing a lengthy list of gifts just to see the total at the end?

Its similar to the procedure in the topic above, but this time we'll put the summary figures on screen instead of printing the whole list of gifts.

  1. Choose File menu > Donations.

  2. Choose Find menu > Date. Enter the date range for the month or year in question. Click the Search button.

  3. Choose Output menu > List Statistics. A new window appears: the figures for "Donations In List" apply to the time period in your search.

  4. Repeat as needed for Pledges and Memberships.

There are over 400 reports, graphs and exports in FUNDimensions, but what if I need one you have not included?

Data Entry FAQ

If I have a mistake in a lot of records, do I have to open each one to make changes? Or is there some way to alter a selection of records with a single command?

FUNDimensions saves you time by providing menu commands for changing any set of records in a single operation. These commands are Assign Other and Assign Keyword, both found in the Records menu.

Changes made to keywords and relationships (edits of their names, deletions) automatically propagate to all donor records to which the keyword or relationship are assigned.

Finally, for changes outside the scope above, a "back door" allows our tech support personnel to provide you with code to do "find and replace" across all of your data, or to any subset of records you desire. This back door is password-protected to prevent accidental use.

Is there a way to save time by using templates or default values for new records?

Yes. FUNDimensions saves you time by providing:

FUNDimensions also auto-capitalizes names and addresses, formats phone numbers, and auto-completes fields for label and letter salutations.

Can I audit the records created on a specific day, or created by a certain person?

Yes. FUNDimensions stamps each donor and gift record with the day and time it was created, and the name of the user who created it. (The name is only recorded if FUNDimensions security feature is enabled.) The same information is also recorded for the last modification made to a record. This information can be searched. For example, you could locate all the records created or modified by Jane Doe for the last week of last month.

Is there some way to prevent some users from deleting records, modifying records, or viewing the gift information for donors?

Yes. Users may be assigned a password and access privileges to restrict these and many other functions, such as printing and exporting. There is even an option for allowing the creation of gift records, while blocking the view of existing gifts.

What's the most efficient way to enter data on couples with two last names?

There are several options:

You can enter these as separate donors, optionally using the Relationship module to include them both in a household. Use this option if you'd like them to appear as separate donors when printing reports. The Householding option will allow a single mail piece to be sent, addressing them as a couple, as long as they maintain the same address (see the Reporting Basics chapter of the User Manual). This has the added advantage that, if you change the address of one party, e.g. she moves out and sends you a new address, the software automatically begins sending separate mail pieces to them. This method relies on Householding, an advanced feature of the software, or has you sending 2 mail pieces when one would probably do.

Or, enter them as a single record, perhaps "Steve and Mary" first name and "Clydes Hampton" last name, then change the Label Line 1 to read "Steve Clydes and Mary Hampton". The donors will think you have them entered as Steve Clydes and Mary Hampton, and the window title bar of your donor record will also display "Steve Clydes and Mary Hampton". This is probably the best option if you want them to appear in reports as a single entity. With this option, Label Line 1 becomes a kind of "alias".

Or, enter one of them as the donor, and designate one of the user-defined fields as Spouse Name, and enter the other person's name in this second field. Set the Label Line 1 field to whatever is appropriate, probably the same as Label Line 1 in the option above. This is harder to search, because now you have last names in two fields, but you have avoided going contrary to their wishes by concatenating their names, (even though they'd probably never know it). This is slower to enter, as you must select the Classification tab to enter the second name.


Importing FAQ

How can I import donor information from other sources into FUNDimensions?

FUNDimensions can import (and export) donor data as text files. These use a tab character to separate fields and a return character to separate records. Use the Import Text File command, located in the File menu, to initiate the import process.

Its important to format your import file correctly prior to import. Guidelines for this appear in the User Manual. A table in the user manual lists which fields may be imported, their maximum number of characters, and the order in which the fields must appear in the source file.

FUNDimensions performs some error checking during the import process. For example, phone numbers may be imported in formatted form, or as raw strings of numbers. FUNDimensions will format them all consistently, using its own formatting protocol.

Our Database Conversion service can also be used to import your data. In addition to relieving you of this often tedious task, we can also build custom imports to clean up problems in your data. Please inquire for more information and a quote.

This answer applies to donor data. If you also have gift data to import, see the item below.

How can I import gift information from other sources into FUNDimensions?

This task is usually only required once, when migrating to FUNDimensions from an existing fundraising system. It is offered as the Database Conversion service. It is not possible for users to import gift records. Please inquire for a quote for your data.

How can I browse and edit data prior to importing it into FUNDimensions?

You can use any spreadsheet program to preview and edit your source file before importing. This is especially helpful for getting fields into the needed order, which is done by moving columns in the spreadsheet. Its also a good way to scan your data for errors and make corrections.


Cross-Platform/Multi-User FAQ

Can I open a data file on both Macintosh and Windows?

Yes, you can move a data file between Macintosh and Windows computers, and you can install the program on as many computers as you wish, in any combination of Macintosh and Windows. Your license will limit you to using only one computer at a time.

When moving the data file between Mac and Windows, use of a small, free utility program is required to accommodate the differing file formats on the two platforms. This process takes only a few seconds. This utility and documentation may be downloaded here.

Can I use my data file with more than one computer at a time?

Yes. The client-server edition of FUNDimensions allows multiple computers to access a data file simultaneously. Please inquire. [Pricing: HTML | PDF 84K] [System and Network Requirements: HTML | PDF 40K]

Can I get a demo version of the client-server edition?

Yes. Please inquire.

Does the client-server edition require certified server engineers or other super-users for installation or maintenance?

Absolutely not. Some customers choose to have a consultant do some or all of these tasks, but the client-server edition is fully supported for installation and maintenance by intermediate-level end-users. Little maintenance is required once a system is stable.

What sort of documentation is there for the client-server edition?

The regular User Manual is authoritative for end-users. Special installation and troubleshooting documentation is available for the client-server edition in the download library.

I'd like to start with your Single-User Edition, but I might need the Client-Server Edition later. Is there an upgrade path?

Yes. You get full credit for your single-user purchase price when you upgrade from a current version to client-server. At current prices, this means you can upgrade to a 2-user client-server edition for about $2550 USD (subject to change without notice).

I might want to switch between client-server and single-user editions. Does my client-server license entitle me to use FUNDimensions single-user too?

Yes. A client-server license allows you to alternate between using client-server and single-user. (You cannot use both simultaneously.) Simultaneously, you can also use the Read-Only Mode with a copy of your data file.


Installation FAQ

I installed the software but I don't know how to start it up.

On Windows: Usually, there will be a shortcut on the desktop when the software is installed, but it is easy to delete. If you can't find the shortcut, click the Start button (lower left of screen), then from the submenu, choose Programs (All Programs on Windows XP), then choose FUNDimensions Single User Edition or FUNDimensions Client.

On Macintosh: Usually, FUNDimensions is installed at the "root" of the hard drive under Mac OS 9, or in the Applications folder under Mac OS X. However, it is entirely possible to install it elsewhere. If its not where you expect it, try doing a search from the Finder (File Menu > Find) for "FUNDimensions".

When I start up the program, the wrong list of records appears.

Hold down the command key (Macintosh) or ALT key (Windows) as the program is starting up. This will force FUNDimensions to ask which data file to use. Otherwise, it opens whatever file was last used, or the demo data file.

I want to create a new data file in FUNDimensions, but it just opens up the demo data file, or another data file I already made.

Follow the instructions for the previous topic. In the window where you select a data file to open, click the New... button.

I made one or more copies of the data file on my computer, and now I am not sure which one is being opened. I need to know so I can back up the right files.

FUNDimensions can tell you the name and path (folder hierarchy) of the open data file in the About FUNDimensions window. To show the About FUNDimensions window, choose About FUNDimensions from the Help menu under Windows, from the Apple menu under Mac OS 9, or the FUNDimensions menu under Mac OS X. The data file name and path appear in the lower section of the window.

On Windows, the data file actually consists of two parts: the one referred to in the About window, which has a file extensions of ".4DD", and another part, which has the same name but a file extension of ".4DR". When viewing these files in Windows' List View with Details turned on, these have a type of "Data File" and "Data Resource File", respectively. The Data File contains your data and will grow as you enter data, while the resource file is very small, usually about 1 Kb, and will not change size. When performing backups, you should always backup both of these files.

Having all your data in one or two files makes maintenance and backups easier than many competing products, which often have a dozen or more files containing data, and which must all be present in the right directories and named correctly for the database to work.

I don't know if the software is installed or not. How can I tell?

Try to locate the software using the guidelines in the step above. On Windows, you can access a file-finding capability under Start menu > Search > For Files and Folders. Try a search for "FUNDimensions.exe". After the search, selecting a file in the Search Results window enables a useful "Open Containing Folder" command in the File menu.

Database systems can be complicated to upgrade. What is involved in upgrading FUNDimensions?

Beyond backing up the current installation and installing the updated application, nothing. The first time you launch the updated application, it automatically makes any changes needed to the data file. This usually takes only a few seconds. Then the application is ready to use. You never need to export or import data, re-do customizations you have made, or anything else. (The sole exception is that of password and access-level assignments; if you have turned on passwords for the program, and assigned users to access levels to restrict their user of the software, these must be exported and re-imported to the new program file when upgrading. A simple procedure is built-in for doing this.)

It is mandatory to perform a backup of your entire FUNDimensions installation before installing an upgrade. This will protect your data, custom report templates and other documents. It will also provide a way to backtrack in the event that the upgrade turns out to be incompatible with your equipment.

In the client-server edition, most upgrades do not require any changes to the client software at all; new code and forms are automatically downloaded from the server to the clients the first time they run after an upgrade.

By reducing downtime and the need for IT professionals, these factors make FUNDimensions have a much lower cost of ownership than most database systems of similar power and scalability.


Troubleshooting FAQ

When starting up the software, I get an error message "File Not Found" File: (your data file name) "The document cannot be opened."

When starting up the software, I get an error message "Error: File Not Found. The database cannot be used."

This usually indicates one or more files in the installation is missing or damaged. For example, on Windows, moving or deleting the "FUNDimensions.4DC" file will cause this error. Reinstall or repair the installation:

When I start up the program, I get an error message that "An interruption occurred while the data was being flushed to disk. Run 4D Tools to see if the data file is OK." What should I do?

Rebuild the data file with 4D Tools to solve this problem. Download 4D Tools from our download library and follow the instructions with the download. For best results, use the "Recover by Tags" options in 4D Tools.

How should I troubleshoot repeated instances of corruption in my data file?

FUNDimensions doesn't just corrupt your data file - something has to go wrong. Here are some problems that can introduce corruption into your data. Fix the problem and you'll usually put a stop to future corruption.

My list of (donors, donations, pledges, etc.) is empty, but I know I had records in there. Or, some columns appear empty in a List View.

There are several possible causes and solutions. Rest easy, though, as your data is still there:

  1. Occasionally, especially when upgrading from a version prior to 3.5 or after a crash, the data stored about the location, size and column widths for a window becomes corrupt, causing some or all data to fail to appear. To force FUNDimensions to use the default values for a window, quit the program, then hold down the Option key (Mac) or ALT key (Windows) before the list is opened. To reset the Donor List, this means you will hold down the key as soon as the splash screen appears during launch. For other lists (Donations, Pledges, Memberships, etc.) hold down the key before choosing the list from the File menu. Once the list opens, release the key.

  2. In one support incident, a reinstall of the software cured this problem.

  3. Sometimes a corrupt database index will cause this problem. Rebuild the index by doing File menu > Administration > Usage tab > Rebuild Indexes button (version 4.6 or later) or use 4D Tools to solve this problem. Download 4D Tools from our download library and follow the instructions with the download.

When I start up the program, the wrong list of records appears.

You have opened the wrong data file. Usually, this happens when you upgrade, and the software opens the demo data file, instead of your usual file. To direct FUNDimensions to open another file, quit the program, then re-launch it with the Option key (Macintosh) or the ALT key (Windows) held down until a dialog window appears where you can choose a file to open.

FUNDimensions can tell you the name and path of the open data file in the About FUNDimensions window. To show the About FUNDimensions window, choose About FUNDimensions from the Help menu under Windows, from the Apple menu under Mac OS 9, or the FUNDimensions menu under Mac OS X. The data file name and path appear in the lower section of the window.

I have the key attached, but the program won't let me create new records. The Save buttons are disabled, and the buttons to create new records are too.

You are probably in Read Only mode. To verify this, display the About FUNDimensions window as described in the previous question. If the lower part of the window says "Read Only Mode", then either the data file is locked/read only, or another copy of FUNDimensions opened your data file before you did. This second copy of the software copy could be on your computer or on another computer on your network.

To unlock a data file on Macintosh, quit FUNDimensions, select the data file, do File menu > Show/Get Info window, and un-check the box labeled "Locked". On Windows, quit FUNDimensions, right-click on the data file, select Properties, and un-check the box labeled "Read Only"; do this for both parts (.4DD and .4DR) of the data file. Re-launch the software and check the About FUNDimensions window again.

I conduct a search for records I know are there, but they don't appear in the search results, or I get a message that no records were found.

A corrupt database index may cause this problem. Rebuild the index by doing File menu > Administration > Usage tab > Rebuild Indexes button (version 4.6 or later) or use 4D Tools to solve this problem. Download 4D Tools from our download library and follow the instructions with the download. We recommend the Recover by Tags option in 4D Tools, as it fixes problems the other options may not.

The "choice lists" I set up for data entry are empty, or there are lots of items missing from them. What should I do?

Your data and lists are safe. FUNDimensions keeps a backup of these lists. To load the backup, choose File menu -> Administration and click the Usage tab. Click the button "Reload Choice Lists" and follow the prompts. There will be backups from the last 25 launches of the software; if you have quit and restarted several times since the choice lists became damaged, you may need to go back several backups to get complete lists. For more information, see the User Manual, Chapter 2, List Backups, or contact technical support.

I am only able to print one page at a time. How can I get the software to print all pages?

You probably have the Print Preview or Preview on Screen checkbox turned on. This is in the Print window, which is the last dialog window you see before the Print Preview window appears. On Macintosh, you may need to choose "FUNDimensions" from one of the popup menus in the Print window before you see this checkbox. Turn off the checkbox and FUNDimensions will send the whole job to your printer.

The LED on the copy protection hardware key does not glow, or the software refuses to open my data file, with an error message that "The software requires that the hardware key must be attached...", but the key is attached to my computer.

Reinstall the software driver for the key. Use the latest driver:

What resources exist to help me troubleshoot my client-server edition of FUNDimensions?

I get a "No more room to save the record" error or -5000 error under Mac OS X. How do I fix this?

When creating a data file, by default the permissions are set as -rw - r - - r- -. The owner by default is the user signed on the Mac OS X system, and the group is Admin. The owner is given both read/write privileges, while the group and others are only given read privileges. This means, if the user logged into the Mac OSX system is any other user other than the owner, FUNDimensions will not be able to make any changes to the data file. If you try, you'll see the error "No more room to save the record" when trying to create a record.

To remedy this you'll need to do one of the following:

What if I have found a bug?

We appreciate your bug reports by email or telephone. Our general policy is to fix bugs immediately and post updates to the web site offering the fix free of charge to our customers. Occasionally, this is not possible with older versions, or there may be a delay in releasing the fix when a major upgrade is scheduled for imminent release. Sometimes, if the bug is minor or has a reasonable work-around, we may wait to combine the fix with other changes. Finally, we can't always fix bugs in older versions of the software.
